Bespoke Nepal Ltd. t/a Ride Nepal, Terms and Conditions (herein known as Bespoke Nepal)
PAYMENT
Payment must be made by bank transfer, details of which will be sent upon booking. The agreed deposit and signed copy of our terms and conditions are required to confirm your booking. If the booking is made less than 12 weeks before the trips starts then the full balance must be paid upon booking.
If the booking is made more than 12 weeks ahead of the trip starting then the remaining balance (full balance minus deposit) can be paid in 1 or 2 installments at the agreed times. The full balance must be paid in full by 12 weeks prior to trip start date.
ACCOMMODATION
Nepal accommodation standards differ to standards of other countries. There is no body of accommodation regulation that all hotels and guesthouses have to adhere to. However Nepal is a world renowned country for its hospitality and where certain facilities that you may be used may be lacking, you can be sure that Bespoke Nepal and any hotel or lodge owner that you may come in to contact with will do their upmost best to make you comfortable with what resources are available. If you are travelling to remote and mountainous areas in Nepal where only basic accommodation is available then you should expect squat toilet facilities and cold-water showers. In your itinerary will be included a brief on the accommodation you will be staying at. If you have any further questions regarding accommodation Bespoke Nepal encourages you to communicate with them prior to your tour departure.
TRAVEL REQUIREMENTS
Visitors to Nepal must have a passport valid for at least 6 months when you submit your application for a visa. More info can be found on your country’s Nepal Embassy website.
We advise each of our clients to visit their local GP or travel clinic to get up to date advice on vaccinations for Nepal before travelling.
FITNESS
If trekking on foot or by motorcycle in Nepal, then please be aware that this requires a high level of physical exertion. Bespoke Nepal are not to be held responsible for any difficulties that may lead to not completing the trek due to fitness.
RESPONSIBILITY
Bespoke Nepal is responsible for providing the services listed in the tour description according to the local standard and the accurate description of services offered in its literature. We promise to make sure that the tour arrangements we have agreed to make, perform or provide, as applicable, as part of our contract with you are made, performed or provided with reasonable skill and care.
WEATHER CONDITIONS
Bespoke Nepal cannot be made liable for unpleasant and unsuitable weather conditions and no refunds are made for such conditions.
INSURANCE
It is advisable to take out your travel insurance at the time of booking your trip as cover will commence for predeparture cancellation from the policy issue date. This will therefore provide cover should you have to cancel your trip for an insured reason such as illness or serious accident. We strongly recommend that you and all members of your party are adequately insured, providing financial protection against unforeseen circumstances. Cover should include medical expenses, as well as repatriation, in the event of accident or illness. In addition, we strongly recommend that you have cover for personal belongings, delay at your outward or homeward point of departure, personal liability, overseas legal expenses and cancellation. If you are undertaking any sports or adventurous activities on your trip, including trekking, you should also make sure that your policy covers these. If the tour includes travelling outside of major cities, it is necessary to include in your travel insurance helicopter rescue for up to the highest altitude you may reach.
Please also ensure you read the policy conditions and exclusions. The type of trips we create and the requirements of Bespoke Nepal clients vary greatly. Once you have a travel insurance policy in place, please let your who you have been communicating with at Bespoke Nepal know who your insurance company is and your policy number. Having this information enables us to support you should an emergency situation arise.
HEALTH
It is essential that you visit your GP or a travel clinic well in advance of travel, preferably at least six weeks ahead, to make sure that you have taken all the necessary health precautions. Some vaccinations require more than one visit with a period of weeks between injections, and some may be incompatible with certain medicines or medical conditions. It is therefore important that your own individual medical history is taken into account. High altitude
Your itinerary may include sections where the altitude exceeds 10,000 feet (3,048 metres). If you suffer from circulation, heart or respiratory problems we advise that you consult with your doctor before confirming your booking.
Special dietary requirements
Special diets should be noted in an email upon booking however, it is not always possible to expect special diets to be catered for in some of the places we travel to. Bespoke Nepal will inform any hotels you may be staying at of your special dietary requirements and if Bespoke Nepal is also undertaking the responsibility of catering as a part of your tour then due consideration will be made in adherence to your special diet.
Water quality
Water quality in Nepal and Tibet is not of a safe drinking standard. Bespoke Nepal recommends you only drink bottle water whilst in any city or town; the company Aqua Hundred is one of the more trusted bottling companies due to checks carried out by the US embassy in Nepal. Whilst on a trek a member of the Bespoke Nepal team will ensure you are provided with only water that has been boiled properly.
COMPLAINTS
Bespoke Nepal seeks to maintain and enhance our reputation of providing you with high quality services. In the instance of a complaint we will use it to assist us to improve our services and customer service. Bespoke Nepal is committed to being responsive to the needs and concerns of our customers or potential customers and to resolving your complaint as quickly as possible. If any situation arises on tour, please bring complaints to your tour guides immediate attention. Do not wait until the trip is over; we take customer complaints very seriously and will try to resolve problems immediately.
PRICE OF PACKAGE MOTORCYCLE TOUR INCLUDES
The items included in the package motorcycle tour price are listed below:
NOT INCLUDED
SINGLE BOOKING ON TOUR
In the case of only one booking for a tour the tour will still run, however a supplementary cost will be charged to the client. The supplementary charge will be the listed single supplement fee. If the client has already opted for single supplement then no additional charge will be required.
BESPOKE TOURS
All price inclusions/exclusions will be made apparent before confirming the booking with Bespoke Nepal and will vary according to the trip.
MOTORCYCLE RENTAL REQUIREMENTS
MOTORCYCLE RENTAL
Rental motorcycles are included as part of some tour packages. Either Honda CRF250L, Reiju marathon pro 200, Suzuki DR 200, Royal Enfield Himalayan 400, Royal Enfield Bullet 350, BMW F800 GS, BMW R1200 R or BMW R1200 Adventure motorcycle models will be reserved on a first come first serve basis, as there are limited numbers of each models. Bespoke Nepal reserves the right to substitute the Rental Motorcycle requested by tour participants. Unfortunately, at times, certain unexpected and uncontrollable situations arise which may require the substitution of a motorcycle. This includes, but is not limited to, delay in manufacture or fleet delivery, mechanical failure, collision damage and theft. Should Ride Nepal not be able to provide the confirmed Rental Motorcycle, another model will be provided to the Client.
The client is responsible for the Rental Motorcycle throughout the tour and if the Rental Motorcycle acquires any damages then the expenses of repair will be charged to the client on top of the tour cost. The agreement between Bespoke Nepal and the client is also consistent with the following points.
The provisions of this Article shall survive the termination of this Agreement with respect to any claims or liability accruing before such termination.
INDEMNITY RELEASE
When traveling to Nepal and/or Tibet you understand and agree to the indemnity release detailed below which is between you and Bespoke Nepal, it’s directors, employees or agents (hereafter called The Company).
You must agree that you shall participate entirely at your own risk and that you, your successors, executors and administrators will release, indemnify and not instigate any claim, demand or expense against The Company for any personal injury, loss of life or damage to personal property suffered during or subsequent to events on tour.
You must acknowledge that any road whether paved or unpaved, or any other venue upon which you travel, may have sandy or rocky surfaces with defects either hidden or exposed as is the nature of some roads. You must agree to obey and observe all rules and directions given during a tour, whether given in writing or verbally by The Company and that The Company has the right to exclude you from any tour for non-adherence to any rule or direction given.
You must acknowledge that there may be no, or inadequate facilities for treatment or transport of participants if participants are injured. You agree that you understand that travel insurance to cover all forms of personal injury, repatriation or costs in the event of death is essential and it is your responsibility to ensure you have appropriate cover.
Bespoke Nepal and its Agents, accept no responsibility for a customer’s failure to arrange appropriate cover. Please also note that motorcycle cover is often void if a helmet is not being worn whilst riding. You agree to wear appropriate motorcycle safety equipment at all times and that you are medically fit to undertake a motorcycle rental or tour.
INDEPENDENT SUPPLIERS
During any excursions during the tour operated by independent suppliers Ride Nepal are not responsible for any failure or negligence on the suppliers part. Ride Nepal cannot be held responsible for any instance of injury or harm to you during this time. Excursions include any which are run by independent suppliers, including but not limited to: Elephant Back Safari, Jungle Walk, Bungee Jumping, Paragliding, White Water Rafting etc.
RIDING GEAR
Clients must bring their own helmets, gloves, jackets, trousers, sufficient body armour, motorcycle boots, rain gear etc. for comfort and style reasons. Helmets must be worn at all times.
TRIP CANCELLATION
We start planning our trips many months in advance. Occasionally, we have to make changes to and correct errors in itineraries both before and after bookings have been confirmed and very rarely cancel confirmed bookings. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so or where we are forced to do so as a result of ‘force majeure’ as defined below.
FORCE MAJEURE
Except as set out in these terms and conditions, we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or you otherwise suffer any loss or damage as a result of circumstances amounting to ‘force majeure’. In these terms and conditions ‘force majeure’ means any event or circumstances which we or the supplier of the services in question could not foresee or avoid even with all due care. Such events and circumstances may include, whether actual or threatened, war, insurrection, riots, strikes, civil action, decisions by governments or governing authority, technical or maintenance problems with transport, changes of schedules or operational decisions of air carriers, terrorist activity, industrial action, natural or nuclear activity, epidemics/pandemics, adverse weather conditions, fire and all similar events outside our control.
CANCELLATION AND REFUNDS
Cancellations received more than 60 days prior to departure will be subject to a £300 per person cancellation fee. Cancellations received less than 60 days prior to departure will be subject to the following forfeit of trip cost:
60 – 31 Day Cancellation Notice: 60% of Trip cost
30 Day or less Cancellation Notice:100% of Trip cost
No Show:100% of Trip cost
Exceptions to this policy cannot be made for any reason. Trip cancellation insurance is strongly recommended.
ADDITIONAL ACCOMMODATION
If you cancel any additional accommodation booked through Bespoke Nepal the following fees will apply:
60 – 31 Day Cancellation Notice: 60% of Total Booking Amount
30 Day or less Cancellation Notice: 100% of Total Booking Amount
No Show:100% of Total Booking Amount

Bespoke Nepal does not intentionally use any copyrighted materials on their website. In the event of Bespoke Nepal’s unintentional use of any copyrighted material, whether it be images, wording or music on Bespoke Nepal website, or anything else connected with Bespoke Nepal, we reserve the right to remove the said mentioned without fine, fee or any other costs from any of the copyright holders, companies acting on behalf of copyright holders, or their subsidiaries
